How are Membership Summaries Created and Updated?
Membership Summary-What Triggers Its Creation and Information
When is a Summary Created?
- Anytime a membership type opportunity is entered with complete information, a membership summary is created for the purchaser and additional members UNLESS the member already has an active membership. Active membership is defined by the active membership up to the expiration date, including the 90 day grace period following the expiration date. Automatically renewing memberships are always considered active.
- If the close date of the membership falls within the active membership period for the purchaser, that opportunity will be applied to the current membership summary and the membership summary will be updated with any new information provided in the incoming opportunity.
- If no active membership exists, a new membership will be created for the member and any additional members.
- In addition, if the membership is auto-renew or lifetime, a pending membership summary will be created at the same time. The pending summary sets the new start date for the membership when the active one expires, and automatically is activated on the day the new membership begins.
- The formerly active membership is ended on the expiration date and marked completed.
What determines what information ends up in the membership summary?
- Membership Summary Name is auto-populated based on the following fields: Contact Member Name, Membership Level, Start Date of Membership, End Date of Membership (note: these fields are on the membership summary)
- Membership Level: Pulled from the most recent opportunity tied to that membership summary, from the field SFZC Membership Level field on the opportunity.
- Start/End Date: A trigger that looks at any previous and current membership summaries fills in start and end date. The dates are not changed on an active membership summary, but are filled in for a new summary.
- Next Payment Due Date: Pulled from the frequency of recurring payments and calculates the next due date based on that pattern.
- Low Range/High Range: Reflection of the value of ranges of membership level on the membership summary Low Range/High Range Remaining: Subtracts the amount paid from the high and low levels
- Amount Paid: Reflects the amount paid applied to the membership summary from the amount of any opportunities associated with the membership. Amount Paid by Member: shows the amount paid by the member, regardless of whether that member is the purchaser. This will usually read zero for additional members who are not purchasers.
